Average Company Apps Hits 101: What Okta’s 2025 Report Means for Your Team

App explosion isn’t slowing down—it’s multiplying
The results are in from Okta’s Businesses at Work 2025 report and they paint a super-clear picture: companies are adding more apps, managing more risk, and demanding more from their workforce than ever before.
The study reveals that modern organizations now run an average of 101 apps per company—the highest ever recorded and a 9% increase year over year (compare with our 2024 recap). That number balloons to 247 apps for enterprises with 2,000+ employees. For tech startups, the study still shows a hefty 42 apps per organization.
With the knowledge that overseeing multiple SaaS apps and platforms—and the employee overwhelm that comes with it—is business as usual this year, let’s dive into some of the most interesting findings from the report.

App overload goes global
The average app count crossing into triple digits marks a turning point. While app growth once plateaued, this year proves that companies are back to adding more tools than they subtract. Here’s what stood out:
- 101 average apps per company, up from below 90 just two years ago
- APAC posted the highest growth: 12% YoY, fueled by surges in Japan (up 31%) and South Korea (18%)
- Government and education organizations are especially aggressive, leading security app adoption at 12% and 34% growth respectively
Two software suites are better than one
Nearly half (48%) of companies using Microsoft 365 also deploy Google Workspace, an increase over last year’s 45%. Among tech startups, that figure jumps to 63%, showing an appetite for feature overlap in favor of flexibility. And they’re not stopping there:
- 54% of startups deploy Slack and Microsoft 365
- 39% of Microsoft 365 users deploy four or more top-tier apps (like Salesforce, Zoom, Box, or AWS) for overlapping functionality
More tools, more tabs, more toggling.
In the graphic below, see how Microsoft 365 remains dominant, while apps like Google Workspace and AWS climb in popularity.

Security and collaboration rule the stack
When it comes to category growth, it’s a two-horse race: security and collaboration.
- 60% of the most popular apps fall into either category
- Three fastest-growing apps this year are all security tools: Bitwarden (passwords), Tailscale (VPN), and Drata (compliance)
- Compliance tool adoption alone grew 50% YoY—on top of 120% the year before
Security isn’t just a concern anymore—it’s core infrastructure.
Teams still faced with the daily app shuffle
The rise in app count means one thing for workers: context switching remains a huge, minute-to-minute issue.
Between toggling from monday.com to Salesforce to Zoom to Jira to Google Docs to QuickBooks, employees burn valuable time. That cognitive toggle tax translates to slower output, missed updates, data entry mistakes, and scattered workflows. It’s not just more apps. It’s more overlap, more notifications, and more interruptions.

Authentication enters the passwordless era
With breaches and phishing threats at an all-time high, businesses are shifting away from traditional login credentials:
- Okta FastPass usage grew 160% YoY by users, with a 377% rise in total authentications
- Biometric logins (like fingerprints and face ID) now back 16% of FastPass logins, with a 288% YoY increase
- Traditional “security questions” are Down 12% YoY
- SMS-based factors are also in decline, especially among startups (down 21%)
The passwordless workplace is no longer future state—it’s already here.
See what’s trending in authentication with the chart below, showing the decline of low-assurance factors (SMS, security questions) and the rise of high-assurance ones like Okta Verify, FastPass, security keys, and biometrics.

Takeaway: Your tech stack is your strategy
More apps don’t just mean more capability—they mean more complexity. This year’s data is a wake-up call. Businesses need to start managing their identity ecosystems as actively as they manage their software subscriptions because as app stacks grow, so do the risks:
- Compliance gaps
- Data breaches
- Employee burnout
- Shadow IT
